Privacy notice

Effective: July 19, 2026

This notice explains what personal data Solo handles, why we handle it, who helps us provide the service, and the choices available to you.

The short version

You keep ownership of the business data you put into Solo. We use personal data to provide, secure and improve the service. We do not sell personal data or share it for cross-context behavioral advertising.

1. Who is responsible for Solo?

Solo is a product of Eminent Systems Inc., doing business as Eminent Technology ("Eminent," "we," "us" or "our"), a Texas corporation. Eminent is the controller of personal data used to operate accounts, billing, support and the Solo service.

When a Solo customer enters personal data about its own customers, staff or other contacts, that customer decides why the data is used. In that situation, the customer is the controller and Eminent processes the data on the customer's behalf.

2. Data we collect

  • Account and profile data: name, email address, phone number, business details, team membership and account settings.
  • Business data: information you or your team enter about customers, appointments, orders, invoices, payments, inventory, staff, documents and other business activity.
  • Billing and transaction data: subscription, payment status and transaction references. Payment providers process card or bank details; we do not need to store complete card numbers.
  • Usage, location and diagnostic data: actions taken in the service, device and browser information, IP address, a country or region inferred from your IP address, timestamps, error reports, audit history and security events.
  • Cookies and similar storage: necessary cookies or browser storage used to keep you signed in, protect sessions and remember settings such as market preference.
  • Communications: messages and files you send to support, sales or the Solo assistant, together with our replies.

We receive data directly from you, from the organization that provides your Solo account, automatically when you use Solo, and from providers that help us process payments, communications, sign-in or other requested features.

3. How we use data

We use personal data to:

  • create and manage accounts and provide the features you request;
  • process subscriptions and in-Solo payments;
  • answer support requests and send service communications;
  • select market-specific pricing and currency, remember your chosen market and personalize workspace settings;
  • detect fraud, abuse and security incidents, and keep audit records;
  • monitor reliability, diagnose errors and improve Solo; and
  • meet legal, tax, accounting and regulatory obligations.

Depending on the situation and applicable law, we rely on performance of our contract, your consent, compliance with a legal obligation, or our legitimate interests in operating, improving and securing Solo. Where we rely on legitimate interests, we consider the impact on your rights before proceeding.

4. AI features

When you ask Solo's AI features to perform work, we may send the prompt and the context needed to answer it to model providers. Do not submit personal data or confidential information unless you are authorized to use it for that task. We use providers and technical controls intended to limit processing to providing the requested service.

5. Service providers and disclosures

We share data only when needed to provide Solo, follow your instructions, complete a transaction, protect the service, or comply with law. Our providers may include:

  • Microsoft Azure for cloud hosting, storage and platform services;
  • Stripe and Paystack for subscription or payment processing;
  • SendGrid for email delivery;
  • Twilio and Africa's Talking for communications;
  • OpenRouter, Anthropic and other disclosed AI model providers for AI-assisted features; and
  • professional advisers, authorities or a successor to our business where disclosure is legally required or reasonably necessary.

Not every provider processes every customer's data. The providers involved depend on the features, payment method and market you use.

6. International transfers

Solo is hosted primarily in the United States. If you use Solo from another country, your personal data may be transferred to and processed in places where we or our providers operate. Where applicable law requires it, we use recognized transfer mechanisms and contractual, technical and organizational safeguards appropriate to the transfer and the service involved. You may contact us for more information about the safeguards relevant to your data.

7. Retention

We keep personal data while an account is active and for as long as needed to provide Solo, keep the service secure, resolve disputes and meet legal, tax or accounting requirements. Retention depends on the kind of record and why it is needed. When data is no longer required, we delete or de-identify it; protected backup copies may remain until they rotate out under our backup schedule.

You can ask for the retention period that applies to a particular category of personal data.

8. Your choices and rights

We make the following privacy choices available regardless of where you live, although the exact scope and exceptions may depend on applicable law. You may ask us to confirm whether we process your personal data; learn about the categories, sources, purposes and recipients involved; and request access, a portable copy, correction, deletion, restriction or objection. You may withdraw consent where processing is based on consent and ask for human review of a decision made solely by automated processing that has a legal or similarly significant effect.

You may also ask to opt out of a sale or sharing of personal data, targeted advertising or certain profiling, and to limit the use of sensitive personal data, where those rights apply. We do not currently sell personal data or share it for cross-context behavioral advertising. We will not discriminate against you for exercising a privacy right.

We may need to verify your identity and authority before completing a request. An authorized agent may submit a request where permitted by law. If we deny a request, you may ask us to reconsider or appeal that decision where applicable, and you may complain to the data protection or privacy authority where you live. If a Solo customer controls the data, we may direct the request to that customer and assist it in responding.

9. How we protect data

We use administrative, technical and physical safeguards designed for the nature of the data and the risks involved. These include access controls, encryption in transit, monitoring, backups and audit records. No online service can promise absolute security, so please use a strong sign-in method and tell us promptly if you suspect unauthorized access.

10. Children

Solo is a business service and is not directed to anyone under 18. We do not knowingly create accounts for children. If you believe a child has provided personal data directly to us, contact us so we can review and remove it where appropriate.

11. Changes to this notice

We may update this notice as Solo, our providers or the law changes. We will post the revised notice here, change the effective date and provide additional notice when a change is material.
